This position provides administrative, managerial, functional, and technical support to the Registrar and Office of the Registrar. This position is meant to fluid and adjustable to meet the needs of the office of the registrar. 

Salary: $26.92-$29.12/Hour, depending on experience.  This is a 35 hour/week position.

Essential Functions:
  • This position has supervisor authority with all registrar office staff below this position for the management of the daily operations and customer service of the office.
  • Responsible for day-to-day office management:
    • Supervise support staff, student workers and graduate assistants.
    • Work with registrar for agenda on weekly staff meetings, trainings and performance evaluations.
    • Work with registrar on requesting new reports or processes to effectively streamline day to day operations.
    • Works with staff to create and maintain procedural manuals for all jobs within the office. Including maintaining all office electronic files and folders.
    • Responsible to know office processes and procedures so can assist office staff with reallocation of duties as needed with any data entry, enrollment verifications, etc. during peak times.
    • Expected to evaluate operations of the office and recommend improvements.
  • Responsible for processing exceptions to student's degree audit (Waiver/substitutions).
  • Responsible for processing various reoccurring reports
  • Responsible for External Enrollment and Degree reporting (National Student Clearinghouse)
  • Responsible for overseeing registration and class schedules for External Programs and Common Ground.
  • Responsible for hands on training to faculty and staff with Banner/Banner Web and Degree Works.
  • Responsible for 2nd level support to students, faculty, and staff.
  • Responsible for graduation for each term from communications, pending lists, application processing, awarding, providing data/reports, and printing of diplomas. Oversees mailing of any diplomas.
  • Assists/Oversee class schedule maintenance for all terms with the Registrar Associate.
  • Assist/responsible with regular communication to students, faculty, and staff.
    • Work closely with registrar to define and assign.
  • Assists with curricular updates in Banner. Assist with course creation/updates in banner.
  • Assists with start of term and end of term processing and communication to faculty, students, and staff.
  • Assists with transfer articulation.
  • Assists with internal Enrollment Reporting.
  • Assists in maintaining via Scribe, curricular and course updates in Degree Works.
  • Assists with running of various processes needed for each term. (Production reminders).
  • Assists the registrar with Banner functional area items of the Banner Student software application.
    • Maintaining and upgrading Banner Student.
    • Security: approves requests for access to Banner student and Banner web.
  • Assists with researching (within Banner and without) to improve processes and procedures.
  • Assists in problem solving banner or degree works issues.
  • Assists staff, students and faculty with registration policies and procedures.
Other Duties & Responsibilities:
  • As an Assistant to the Registrar they will learn all aspects of duties of day to day management and operations. Duties will shift based on skills and needs of the office to ensure best service to the AU community.
  • Supports and assists in creating intersections for faculty, staff and students that will assist in transforming people's lives.
  • Supports and assists in creating an evolving culture of mentoring and rich engagement opportunities for faculty, staff, and students.
  • Maintains a commitment to diversity, equity and inclusion and a high degree of cultural competence and respect for a wide range of identities and experiences, therefore welcoming and supporting all faculty, staff and students and expanding access to the AU experience.
  • Maintains a safe working environment within and around their facilities and associated equipment and supplies including, but not limited to, obtaining Safety Data Sheet (SDS) information pertaining to any hazards associated with their work environment.
  • Participates in all required assigned training, including safety training and will comply with safety rules, regulations, and protocols.
  • Effective written and oral communication skills.
  • Contributes to the overall success of the University by performing other duties as assigned.
Qualifications - Education & Experience, Knowledge, Skills & Abilities:
  • Bachelor's degree or Associates degree with 3-5 years higher education/registrar office experience. A degree in a relatable field is preferred.
  • Technical and analytical skills. Strong skills with using intricate software management systems such as Ellucian Banner. Need to be self-motivated to learn; to think outside the box to solve problems; and suggest improvements to office processes.
  • Experience in understanding and applying rules and regulations in an administrative or management environment. Higher education experience is preferred.

Personal Protective Equipment must be worn when required. A respiratory function test and the ability to use respirators may be required. Stairs and uneven surfaces may be present; artificial lifts, etc. may or may not be available. The position may require the incumbent to walk outdoors in all types of weather to other buildings or offices located on the campus. The Campus is located in an area that contains numerous hills and slopes and may not always be fully accessible for mobility impaired individuals. 

Job involves extensive typing and will occasionally need to move and lift boxes of paper, diplomas and other items. Weekend work is minimal if any; but requires minimal hours of coverage during any holiday breaks that the university is closed.
